How we collect, use and protect your personal data

This Privacy Policy explains how Aquevix Solutions Pvt Ltd (“Aquevix”, “we”, “us”, “our”) collects, uses, shares and protects personal data when you visit aquevix.com or otherwise interact with us in connection with our technology consulting and software services.
We are the data controller (or “Data Fiduciary” under the Digital Personal Data Protection Act, 2023) for the personal data described in this policy.

Scope of this policy
This policy covers the aquevix.com website and related online forms, scheduling links and email communications. It does not cover services we deliver to clients under a separate Master Services Agreement, Statement of Work or Non-Disclosure Agreement. Where such an agreement applies, its terms govern the handling of client data and prevail over this policy in case of conflict.
Information we collect
We collect personal data in two ways.
Information you give us directly
- Name, business email, phone number, company and role when you fill in a contact, consultation, partner or project enquiry form.
- Message content and any files or details you choose to share with us.
- Email address when you subscribe to our newsletter or content updates.
- Information you provide during a sales call, discovery workshop or scheduled meeting.
Information collected automatically
- IP address, approximate location (city/country), device and browser details, referrer, pages viewed and timestamps, captured in standard server access logs.
- Cookie and similar identifiers used by our marketing pixels (see “Cookies and marketing pixels” below).
We do not knowingly collect sensitive personal data through this website. Please do not submit sensitive data (financial account numbers, health information, government identifiers, etc.) through our forms. If you send such data anyway, you consent to our handling it as described in this policy and applicable law.
How we use your information
We use personal data to:
- Respond to enquiries and schedule conversations.
- Send you the proposal, content, or follow-up you asked for.
- Operate and secure the website, prevent abuse and diagnose issues.
- Improve our content, services and user experience.
- Send marketing communications about our services where you have opted in, with the ability to unsubscribe at any time.
- Comply with legal, tax and regulatory obligations.
We rely on your consent for marketing communications and pixels, on the necessity to perform a contract or take pre-contract steps for enquiries and proposals, and on our legitimate interests in running, securing and improving our business for analytics and service operation, balanced against your rights.
Cookies, analytics and marketing tools
We use a small number of analytics, marketing automation and similar tools to understand how visitors use the Site and to communicate with people who ask to hear from us. The list below is current as of the “Last updated” date and may be added to over time.
Analytics (essential)
We use Umami (self-hosted at um.aquevix.com) to count visits and understand which pages are read. Umami does not set cookies, does not use cross-site identifiers, and does not collect personal data that can identify you on its own. We treat this as essential to operating the Site.
Marketing automation
We use Mautic for email marketing and to follow up with people who fill in our forms or subscribe. Mautic may set cookies in your browser to recognise you across visits, link form submissions to email activity, and measure email opens and clicks via tracking pixels in our emails.
Other tools
We may from time to time add other analytics or marketing tools. Where any new tool processes personal data or sets non-essential cookies, we will update this policy and, where required, ask for your consent before it loads.
We do not use Google Analytics.
You can control non-essential cookies and tools through:
- The cookie banner shown on your first visit, and the “Cookie preferences” link in our footer.
- Your browser settings (most browsers allow you to block or delete cookies).
- The unsubscribe link in any marketing email we send you.
Disabling cookies will not prevent you from browsing the Site, but some features may behave differently.
Sharing your information
We do not sell personal data. We share it only with:
- Service providers who help us run the business, such as our website host, email and CRM platform, scheduling tool, marketing pixel providers, and analytics vendors. They are bound by contract to use the data only for the services they provide to us.
- Professional advisors (lawyers, accountants, auditors) when required.
- Authorities where we are legally required to disclose information, or to establish, exercise or defend legal claims.
- A successor entity in the event of a merger, acquisition or restructuring of Aquevix, subject to equivalent privacy commitments.
International transfers
We are headquartered in India. Some of our service providers may process data in other countries. Where personal data is transferred outside your country of residence, we take reasonable steps to ensure appropriate safeguards are in place, consistent with applicable data protection laws.
How long we keep your data
- Enquiry data: kept for up to 24 months after our last interaction, unless we enter into a services engagement with you.
- Client engagement data: retained for the duration of the engagement and for up to 7 years afterwards to meet legal, tax and audit obligations.
- Newsletter subscribers: until you unsubscribe.
- Server logs: typically up to 90 days.
- Cookies and pixels: per the lifetime set by each cookie, or until you clear them.
We delete or anonymise data when it is no longer required.
How we protect your data
We use industry-standard measures to protect personal data, including TLS encryption in transit, access controls, least-privilege permissions, and vendor due diligence. No method of transmission over the Internet is fully secure, so we cannot guarantee absolute security, but we work to minimise risk and respond promptly to incidents.
If we become aware of a personal data breach that is likely to result in risk to you, we will notify you and the relevant authorities as required by law.
Your rights
Depending on where you are based, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Erase your data, subject to legal exceptions.
- Withdraw consent at any time, where we rely on consent.
- Object to or restrict certain processing.
- Nominate another individual to exercise your rights in case of death or incapacity (DPDP Act).
- Lodge a complaint with the Data Protection Board of India or your local data protection authority.

Children’s privacy
Our services are intended for businesses and professionals. We do not knowingly collect personal data from children under 18. If you believe a child has provided us personal data, please contact us and we will delete it.

We may update this policy from time to time to reflect changes in our practices or in the law. The “Last updated” date at the top shows when it was last revised. Material changes will be highlighted on this page or notified to you where required.
